Privacy and personal data
We collect the minimum information needed, and only when you give it to us. This policy follows the EU General Data Protection Regulation (GDPR).
Data controller
IFE Foundation, Vauréal (95490), Val-d'Oise, France. For any question about your data: contact@ifefound.org.
Contact form
Data collected: name, email address, subject and message. Purpose: replying to your request. Legal basis: your consent, given by ticking the box on the form. Messages are received in the association’s mailbox and kept for up to 3 years after our last exchange. Your IP address is stored in hashed form for one hour at most, only to block abusive sending.
Help requests and reports
Data collected: first name or nickname, contact details, city, postcode and country, situation, household composition, income bracket, needs, steps already taken, estimated amount and, for financial help, what it will be used for, who it would be paid to, whether a supporting document exists and what will improve the situation afterwards, then a free description. This information may reveal a social, financial or health situation: we only process it with your explicit consent, given by ticking the box on the form. Purpose: reviewing the request, deciding collectively on any help, then following up with the person supported.
Only the volunteers who handle requests and the solidarity committee read this information, and they are bound to confidentiality. It is never published or passed to a partner without the agreement of the person concerned. It is kept for the duration of the support, then for 2 years at most, and for 6 months at most if no help is given. Please don’t send medical details or document numbers through this form: if a document is needed, we will ask for it securely.
If you report someone else’s situation, make sure they agree to be contacted, or tell us: we will not contact them without their agreement. An acknowledgement containing only the request number is sent to the email address given.
To follow up on requests, volunteers use a tracking sheet with no names, contact details or descriptions: only the request number and general information (area, type of need, priority). If you tick the “testimony” box, your situation may be told anonymously (name changed, no photo or precise location) in our fundraising appeals. This consent is optional and you can withdraw it at any time by writing to us.
Donations and membership
Donations and memberships are made on HelloAsso, which acts as payment provider. The information you enter (identity, address for the tax receipt, email) is passed to IFE Foundation to manage your donation or membership and issue tax receipts. It is kept as long as accounting and tax rules require (up to 10 years). HelloAsso’s own processing is described in its privacy policy.
Newsletter
Data collected: e-mail address and, if you give it, your first name. Purpose: sending you the association’s news. Legal basis: your consent, confirmed through the link sent by e-mail. E-mails are sent by Brevo (Sendinblue SAS, France) on our behalf. You can unsubscribe at any time with the link in every e-mail.
Membership requests
Data collected: name, email, phone (optional), city and country, type of membership, areas of interest, availability, skills, motivation. Purpose: allow the board to review the request, then keep the register of members. Legal basis: your consent, then membership itself. This information is read by board and committee members. If the request does not go ahead, it is deleted no later than 6 months after our reply; for members, it is kept for the duration of membership and 3 years afterwards.
Volunteer sign-up
Data collected: first and last name, email, phone number (WhatsApp), town, whether you are 18 or over, preferred tasks and availability, chosen action, consent to appear in photos and videos, consent to join the volunteers’ WhatsApp group, free message. Purpose: organising our actions, coordinating volunteers and contacting them about future actions. Legal basis: your consent. The information is stored with our host (Hostinger, European Union) and only authorised members of the association can see it. If you agree to join the WhatsApp group, your number is visible to other group members. It is deleted after 3 years without contact, or earlier on request to contact@ifefound.org.
Donations in kind
Data collected: first and last name, organisation if any, email, phone number (WhatsApp), town and postcode, type, condition and quantity of the goods, how they are handed over, proposed dates and any details. Purpose: organising the drop-off or collection. Legal basis: your consent. Only authorised members of the association can see it, and it is deleted one year after the collection is closed.
Cookies and analytics
This site uses no advertising cookies and no analytics. Fonts are served from our own server: no data is sent to Google. The HelloAsso form on the Donate page may set cookies it needs to work.
Your rights
You can access, correct or delete your data, object to its processing or withdraw your consent at any time by writing to contact@ifefound.org. You can also lodge a complaint with the French data protection authority, the CNIL.
